SAR’s Cars – Terms & Conditions of Hire

Please read the following Terms & Conditions carefully. By booking with SAR’s Cars, you agree to the terms outlined below.

1. Booking, Payment & Hire Agreement

A non-refundable deposit of £99 is required to secure your booking. The remaining balance must be paid in full no later than 4 weeks prior to the wedding date.

Payment can be made via bank transfer or another agreed method.

Your booking is only confirmed once the deposit has been received and these Terms & Conditions have been accepted.

For your peace of mind, SAR’s Cars will issue a written hire agreement confirming all details of your booking, including timings, services, and arrangements. This ensures clarity for both parties and guarantees your booking is fully secured once signed and returned.

2. Cancellations & Refunds

If you need to cancel your booking:

• More than 12 weeks before the event: The deposit is non-refundable, but any balance paid will be refunded.

• Less than 12 weeks before the event: No refund will be issued.

In the unlikely event that SAR’s Cars must cancel due to unforeseen circumstances, a full refund will be provided, and assistance will be offered to help source an alternative vehicle where possible.

3. Amendments to Booking

Requests for changes (such as timings, pickup/drop-off points, or decorations) can be made up to 4 weeks before the event, subject to availability and potential additional charges.

4. Service Inclusions

Your standard hire includes:

• Chauffeured travel to your ceremony and reception venues.

• Our signature garland, white bow, and ribbon decorations, or a custom colour if requested in advance.

• Photo stop opportunity at your chosen locations with Lily, included within our packages.

• A complimentary glass of Champagne, along with chilled still and sparkling soft drinks and delightful non-alcoholic alternatives, served after the “I do’s.”

Our chauffeur will ensure your celebratory toast is enjoyed safely and elegantly once Lily is parked. Our Champagne service is licensed and responsibly managed — see section 12 for details.

Additional extras such as bespoke décor, extended mileage, or extra photo stops must be pre-arranged and paid for in advance.

5. Seating Capacity & Viewings

Lily can accommodate the Bride and up to five passengers; however, for comfort and enjoyment, we recommend a seating arrangement for up to four passengers.

As classic VW Campervans have a more compact interior, we recommend arranging a viewing prior to booking. This ensures Lily comfortably accommodates your bridal party and meets your requirements.

By confirming your booking without a prior viewing, you acknowledge and accept Lily’s seating layout and capacity as recommended.

SAR’s Cars cannot be held responsible on the day if the bridal party cannot be seated as expected where the number of passengers exceeds the capacity agreed at the time of booking.

6. Timings & Delays

We recommend allowing generous buffer time in your schedule.

SAR’s Cars cannot be held liable for delays caused by traffic, weather conditions, road closures, or other circumstances beyond our control.

7. Vehicle Condition & Passenger Conduct

To maintain the quality and comfort of our service:

• Smoking, vaping, and food consumption are not permitted inside the vehicle.

• In accordance with the Licensing Act 2003, alcohol must not be consumed while the vehicle is in motion.

• Any damage to the vehicle caused by the client or their guests will be charged in full.

8. Breakdowns & Substitutions

Our VW Campervan is maintained to a high standard; however, in the unlikely event of a breakdown, SAR’s Cars will:

• Endeavour to provide a substitute vehicle (style may vary), and

• Refund part or all of the hire fee, depending on the circumstances.

We cannot be held responsible for missed parts of your schedule due to mechanical failure.

9. Maintenance, Insurance & Liability

Lily is maintained to the highest standards and fully insured for wedding and event hire, including Chauffeur, Hire & Reward, and Public Liability cover. This ensures complete peace of mind for our couples and their guests throughout the hire period.

SAR’s Cars cannot accept liability for any personal belongings lost or damaged during the hire period, and we kindly ask that all valuables are kept safely with you at all times.

10. Data Protection

Your personal information is stored securely and used solely for the purpose of managing your booking.

We will never share your data with third parties without your consent.

11. Photography Consent

By booking Lily for your wedding, you acknowledge and agree that SAR’s Cars may use photographs taken of the bride, groom and party with Lily for promotional purposes, including our website and social media.

If you prefer not to have your images used in this way, please contact SAR’s Cars in advance to opt out. Images including family or guests will only be used with their prior consent.

When purchasing the SAR’s Cars Photo Package, please note:

• Photography Disclaimer: SAR’s Cars is not a professional photography service. However, all images are reviewed and carefully edited to enhance quality and presentation.

• Photo Delivery: Please allow up to 7 days for delivery of your images via email, as each is individually edited for best results.

12. Alcohol Service Terms

Licence No. BH230743
SAR’s Cars is licensed under the Licensing Act 2003 to serve alcohol as part of its wedding hire service.

Service: Champagne or other alcoholic beverages may be served by the chauffeur as a complimentary gesture to the wedding couple.
Consumption Restrictions: Alcohol may only be consumed by the bride, groom, and authorised passengers aged 18 or over. It must not be consumed while the vehicle is in motion.
Responsible Service: Alcoholic beverages will only be served once the vehicle is safely parked (for example, during photo stops or after the ceremony). Your chauffeur reserves the right to withhold or withdraw alcohol service if safety, legal, or behavioural concerns arise.
External Alcohol: Guests must not bring or consume their own alcohol in the vehicle unless expressly agreed in advance.
Liability: SAR’s Cars and its chauffeur cannot be held responsible for the consequences of alcohol consumption by passengers.

Our complimentary Champagne service is designed to add a touch of elegance and celebration to your special day, while ensuring a safe and enjoyable experience for all.

12A. Temporary Event Notices (TENs)

SAR’s Cars operates in full compliance with UK licensing laws.

The operator of SAR’s Cars holds a Personal Licence under the Licensing Act 2003, permitting the authorised supply of alcohol as part of our wedding hire service.

For weddings including our Champagne service, we obtain a Temporary Event Notice (TEN) to cover any photo stops or off-road serving locations. This ensures every aspect of our Champagne service is fully legal, safe, and compliant.

Our licensed status means your chauffeur is authorised to serve your complimentary celebratory glass of Champagne under Licence No. BH230743, issued by BCP (Bournemouth, Christchurch & Poole) Council.

Champagne is only served once Lily is parked and only to guests aged 18 or over, allowing you to enjoy your toast with complete peace of mind.

Please note:

• Alcohol will only be served at locations covered by the relevant TEN.

• Passengers must remain within the approved area while consuming alcoholic beverages.

• SAR’s Cars reserves the right to decline or withdraw alcohol service if a TEN cannot be granted for a specific stop.

• Alcohol will only be served to passengers aged 18 or over.
